Learn how to put all the accessibility tools right at your fingertip to help streamline making accessible PDF files.
Thanks for joining us today to learn how to set up your workspace for making accessible PDFs in Acrobat Pro. Putting all the accessibility tools right at your fingertips helps streamline making accessible PDF files.
Today I am covering the following topics.
How to enable the new Acrobat experience. How to optimize your workspace for making PDF files accessible.
And keyboard shortcuts.
To start, make sure you have the new Acrobat experience enabled.
When you do, the tools and menus appear like this.
If you don鈥檛 have the new experience enabled, simply select view, then select enable new Acrobat. You are prompted to restart Acrobat with the new experience.
In the new experience, Acrobat tools appear on the left, navigation panes on the right, and a floating toolbar appears when a document is open.
To optimize your workspace, you鈥檒l want to turn on some key panes by selecting view show hide side panels in the main menu. Or use the context sensitive menu in the right rail and check the accessibility tags panel previously called tags. This panel presents the structure of the document to an accessibility screen reader. When you select a tag, the content is highlighted in the document. Other important tools you can access from this panel are the table editor and reading order tools. Notice that you can access certain tools using keyboard shortcuts like Q for the table editor and X for the reading order tool.
Next, turn on the reading order tool in the right rail. This tool allows you to set the order in which content is read to a screen reader. When you select the panel, you see overlay boxes that show the reading order of page content with these numbers. Under the ellipse, you can open the floating reading order dialogue where you can draw a rectangle around content to set the reading order.
And last, turn on the content panel tool in the right rail. This panel provides a hierarchical view of the objects that make up a PDF and can sometimes come in handy when working on accessibility issues. There are a few other tools you鈥檒l want quick access to in the all tools pane. Prepare for accessibility. Use guided actions. Scan an OCR. Prepare a form. And organize pages.
So, drag and drop these tools to the top of the panel for easy access.
And finally, in the quick actions toolbar, select the ellipse to customize. Select auto tag document and full check to add them to the toolbar. Remember, you can find keyboard shortcuts on various menus like Q for the table editor and X for the reading tool. If you wanted to move around within Acrobat using the keyboard, you can rotate through various elements of the UI using the F6 key. Here鈥檚 a quick check in on setting up your workspace. The order panel is used to set the order in which content is read to a screen reader. True or false? This is true. The order panel provides the easiest and quickest way to fix reading order in a PDF. And that鈥檚 it. Now you鈥檙e ready to make PDF files accessible in Acrobat Pro.
